Warehouse inspection

Hipobuy QC guide: check the item, not the thumbnail

Warehouse photos are your last practical checkpoint before a parcel travels internationally. Use a repeatable checklist and request missing evidence while a return may still be possible.

Good QC is less about hunting for perfection and more about confirming that the warehouse received the correct item in acceptable condition. Review the whole item first, then move to category-specific details.

01

Know what QC photos can and cannot prove

Warehouse images can show the selected color, visible construction, major marks, approximate dimensions and packaging. They cannot reliably prove long-term durability, material composition, comfort or how an item behaves after wear and washing.

Use community QC as reference

Community images can reveal recurring details or common flaws. They do not guarantee that your item comes from the same batch, so your own inspection remains the final checkpoint.

02

Run the same first-pass check on every product

  • Correct item, color, size and quantity
  • No obvious stains, tears, dents or missing parts
  • Front, back, sides and labels are visible
  • Measurements are consistent with the size chart
  • Packaging is suitable for the shipping plan

If the photos are too dark, distant or incomplete, pause the decision. A targeted extra photo is cheaper than discovering a visible issue after international delivery.

03

QC checklist for shoes

Compare both shoes side by side. Look for matching shape, consistent panel placement, even stitching and similar sole alignment. Check the toe boxes, heel tabs, tongue labels, outsole pattern and size tags. Ask for an insole or outsole measurement when fit is uncertain.

Minor glue marks may be cosmetic, while separation, deep creasing, severe asymmetry or an incorrect size can affect use. Judge defects by their impact, not only by how noticeable they appear in a close-up.

04

QC checklist for clothing

Confirm chest width, shoulder width, garment length and sleeve length against a piece you already own. Inspect seams, hems, zippers, buttons, printed graphics and embroidery. For patterned garments, compare alignment where panels meet.

Warehouse lighting can shift colors, so ask for a daylight or neutral-light photo when the exact shade matters. A measurement photo is more dependable than a size letter.

05

QC checklist for bags and accessories

Check the overall silhouette, handle placement, strap length, zipper path, hardware color and edge finishing. Ask for the interior, corners and base if they are not already visible. For wallets and card holders, confirm slot count and closed dimensions.

Protective packaging can add volume, but removing too much protection may increase damage risk. Decide which packaging to keep only after inspecting the item’s structure and your intended shipping method.

06

Request an extra QC photo that answers one question

Do not ask for “more photos” without explaining what is missing. A useful request names the area, the angle or measurement method and the decision it should resolve. This reduces the chance of receiving another image that leaves the same uncertainty.

Useful QC photo request examples
  • “Please photograph the size tags on both shoes in one clear image.”
  • “Please measure the T-shirt flat from pit to pit with the full tape visible.”
  • “Please show the mark near the right cuff under neutral lighting.”
  • “Please photograph the bag interior, zipper path and strap attachments.”
  • “Please show every included accessory beside the main item.”

Extra photos can clarify visible details and measurements. They cannot prove comfort, exact composition, authenticity, waterproofing or long-term durability.

07

Make a keep, exchange or return decision

Separate objective problems from preferences. A wrong size, missing part or major defect is different from a tiny cosmetic variation. Record the issue clearly, refer to the listing or selected variant, and contact the agent promptly because seller return windows vary.

  • Keep: the item matches the order and visible issues are acceptable.
  • Request evidence: a key angle, measurement or detail is missing.
  • Exchange: the seller supports it and the problem may be limited to one item.
  • Return: the item is wrong, damaged or materially different from the listing.

Questions answered

Frequently asked questions

What does QC mean in a Hipobuy spreadsheet?

QC means quality check. It usually refers to warehouse photos taken after a purchased item arrives at the shopping agent. The photos help you compare the received item with the listing before international shipping.

Are community QC photos enough to approve my order?

No. Community photos are useful research, but you should inspect the photos for your own order because sellers, batches, colors and sizes can vary.

What should I do if a detail is not visible?

Ask the shopping agent for a clear close-up or measurement while the item is still in the warehouse. Request the specific angle or detail you need instead of asking for a generic extra photo.

How should I request an extra Hipobuy QC photo?

Name the exact area, angle and question. For example, request a flat pit-to-pit measurement with the tape visible instead of asking for more pictures.
